CIP Program

A CIP record (Cataloging in Publication) is a bibliographic record made for a publication that has not yet been published. When the book is being published, the publisher includes the CIP record on the credit page thereby facilitating book processing for libraries and book dealers.

Goal

The CIP program aims to serve to library community through cataloguing documents before their publication. The publishers, which are taking part in CIP Program, sent the entire text of the publication to the Biblioteca de Catalunya, electronically. The Biblioteca creates a bibliographic record for each publication (CIP record), which is sent to publisher to be printed on the credit page of the book

Thereby, libraries which acquire a copy of the book have the bibliographic record available, reducing cataloguing costs in this way.

Procedure

  • The publisher should send the entire text of each of its publications (or basic data required, at least) to the Biblioteca de Catalunya. Data should be sent by email to CIP@bnc.cat.
  • Technical staff of the library will check data completeness and prepare CIP record: descriptive cataloguing and access points of author, title and subject. The CIP record is sent to publisher to be printed on the credit page of the book.
  • Once the book has been published, the publisher sent a copy to the Biblioteca de Catalunya in order to complete the bibliographic record with definitive data which are not included in CIP (inprint, physical description …), in that way the procedure is completed.

It is mandatory to provide definitive layouts of:

  • Front page
  • Cover
  • Half titles
  • Credit page

It is recommended to send the entire text of the book to be published, as far as possible. Anyway should always be delivered introductory and conclusion texts, indexes and table of contents, and lists of bibliography.

If book will have ISBN number, it should be sent to consign it on the CIP card.

Placement of the CIP card on the book

The CIP card sent by the Biblioteca de Catalunya should be printed just as it is received, with the same typographic features, punctuation and arrangement of paragraphs.

It is recommended to print it in a box.

It should print legend “BIBLIOTECA DE CATALUNYA – DADES CIP” at the top of the card.

Materials for which the CIP record is made

The Biblioteca de Catalunya only creates CIP records for printed monographs (up to 16 pages) in Latin alphabet.

The Biblioteca de Catalunya does not create CIP records for serials, cartographic material, documents that are only in digital format and documents non-Latin alphabets.

When a work is formed by several volumes and these are not published at once, CIP card will be revised every time a new volume is issued.

It should be sent data of second and successive editions of a work to create, if appropriate, a new CIP record. Reprintings will use CIP record of previous edition.

Applicants for CIP cards

The Biblioteca de Catalunya creates CIP cards for publications from any organization, institutions or publisher, which ask for them. To take part in CIP program it should be sent a request to CIP@bnc.cat, with the number of books per year that it is expected to issue.

To get a CIP record is free. The Biblioteca de Catalunya only asks for a copy, once the book has been published to check and complete the bibliographic record.
